Who we are

Prestige Vita is a trading name of PRESTIGE BEAUTY GROUP LTD, registered in England and Wales under company number 16938241. We are the controller of personal information we use to run Prestige Vita and fulfil your orders.

Registered office: 82a James Carter Road, Mildenhall, Bury St. Edmunds, IP28 7DE, United Kingdom.

For privacy questions or rights requests, email info@prestigevita.co.uk.

This policy explains how we handle information when you visit PrestigeVita.co.uk, contact us, create an account, purchase from us or choose to receive our marketing. It applies alongside our Cookie Policy. Reading this policy or browsing our website is not consent to optional marketing or tracking.

Information we use

Depending on your interaction with us, we use:

  • Contact and delivery details, such as your name, email address, postal address and a telephone number where needed for an order or delivery.
  • Order and transaction records, including products purchased, payment status, refunds, delivery information and customer care correspondence.
  • Account information, if you choose to use a customer account, including account identifiers and settings.
  • Communications you send us, including an optional order number on the contact form.
  • Marketing preferences and records of consent or withdrawal, where you sign up for communications or make privacy choices.
  • Technical information, such as IP address, browser and device information, security logs and information about use of the store. Optional tracking depends on your privacy choices and the services enabled.

Payments are processed by Shopify and the payment providers available at checkout. We receive information needed to record and manage a transaction, which may include a payment reference, payment method and limited card information. We do not normally receive or store your full payment card number or card security code.

We collect information directly from you and receive relevant order, payment and delivery updates from our service providers. Technical information may be collected automatically through the store and cookies or similar technologies.

Please avoid including medical history or other sensitive information in a general enquiry unless it is necessary to explain a product safety concern. If a safety enquiry requires sensitive information, we will explain the relevant use and protections when collecting it.

How and why we use information

We use order, payment and delivery information to take and fulfil orders, communicate about purchases and handle cancellations, returns and refunds. Our lawful basis is performance of our contract with you, or taking steps at your request before entering a contract.

We use enquiry and account information to answer questions and provide requested services. Where this concerns a purchase, we rely on contract. For other routine enquiries and store administration, we rely on our legitimate interests in responding to customers and operating the business, while considering your interests and rights.

We use necessary technical and transaction information to secure the store, prevent fraud and investigate misuse. Our lawful basis is our legitimate interests in protecting customers and our business, or a legal obligation where applicable. We do not use legitimate interests to bypass consent requirements for optional tracking.

We keep accounting records and deal with applicable tax, regulatory and legal requirements on the basis of legal obligations. Where needed to establish or defend a legal claim, we rely on our legitimate interests in handling that claim.

Where you opt in to marketing emails, we use your contact details and marketing preferences on the basis of your consent. You can unsubscribe at any time using the link in an email or by contacting us. Order and service messages are separate from promotional messages.

Optional analytics, personalisation and advertising involving tracking that requires consent are used only where enabled and with the relevant permission. Our Cookie Policy explains the choices available. Refusing optional cookies or marketing does not prevent you from purchasing.

We need essential contact, delivery and payment information to complete a purchase. If it is not provided, we may be unable to process or deliver an order. Optional marketing choices and optional fields on the contact form are not a condition of making an enquiry or purchase.

Who receives information

We share relevant information with providers that help us operate the business, including Shopify for the store, payment providers for the payment method selected, delivery providers to fulfil your order, and providers of business email, hosting and IT support where needed.

Our accountants, professional advisers, regulators or public authorities may receive information where necessary for their role or required by law. If our business is sold or reorganised, relevant information may be shared with those involved, subject to appropriate protections and notice where required.

We use only the information needed for the relevant service. Any additional analytics, advertising, loyalty or subscription services introduced will be reflected in the relevant privacy information before their processing begins.

Shopify's role

Shopify hosts our online store and processes information needed to provide checkout, accounts, payments, security and other platform services. For some purposes Shopify acts on our behalf; for other services it is responsible for its own processing.

Where Shopify Enhanced Services, including Shopify Network Intelligence, are enabled, Shopify may use information about your interactions with our store together with interactions with other merchants and Shopify to provide those services, including relevant personalisation, improvements or advertising. Shopify and its providers may process information in countries outside the United Kingdom.

Any consent required for optional tracking and personalised advertising is requested through the relevant privacy controls. You can change your choices, including withdrawing consent. Read Shopify's Consumer Privacy Policy for its practices and use Shopify's privacy portal to exercise rights relating to processing for which Shopify is responsible. You can still contact us about information for which we are responsible.

International processing

Although we currently deliver only within the United Kingdom, Shopify and other service providers may process personal information overseas.

Where we make a restricted international transfer, we use a legally recognised safeguard, such as UK adequacy regulations or an appropriate contractual safeguard, including the UK International Data Transfer Agreement or the UK Addendum to relevant standard contractual clauses, as applicable. Contact us if you would like information about the safeguards relevant to your information.

How long we keep information

We retain information for the purpose for which it was collected and applicable legal requirements, then delete or anonymise it when no longer needed.

Order and accounting information required for our company records is normally retained for six years from the end of the financial year it relates to, and longer where a legal requirement or unresolved claim requires it.

For customer care enquiries, we consider whether the matter is still open, whether it relates to an order, product safety or a complaint, and whether records are needed to establish or defend a claim. Routine enquiries that no longer serve a necessary purpose are deleted rather than kept indefinitely.

Account information is kept while the account is used or needed to provide the requested service. Closing an account does not automatically require deletion of separate transaction records that we must retain.

Marketing contact information is kept while we have a valid basis to send the communications, subject to periodic review. After you unsubscribe, we may retain a minimal suppression record to honour that choice. Security logs and consent records are kept for the time needed for their security or accountability purpose, taking account of the relevant risks and applicable retention requirements.

Cookie lifetimes are explained in our Cookie Policy and the linked Shopify information. A cookie's lifetime does not necessarily determine how long a related transaction or legal record is retained.

Your rights

Depending on the circumstances, you have rights to access your information, correct inaccuracies, request deletion, restrict processing, receive certain information in a portable format and withdraw consent. These rights are subject to legal conditions and exceptions.

You have the right to object to use of your information for direct marketing at any time. You may also object to processing based on legitimate interests for reasons relating to your particular situation. Contact us at info@prestigevita.co.uk.

To withdraw marketing consent, use the unsubscribe link or email us. To change optional tracking choices, use Cookie preferences in the website footer. Withdrawal does not affect the lawfulness of processing before withdrawal.

We may ask for information reasonably necessary to verify your identity. We will normally respond to a rights request within one month. Where the law allows an extension because of complexity or the number of requests, we will explain the extension and its reason. Requests are normally free of charge.

You may complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint. You can contact us first if you would like us to investigate, but you are not required to do so before contacting the ICO.

Children

Our products and store are intended for adults aged 18 and over. We do not intentionally collect children's information for marketing or customer accounts. If you believe a child has supplied information to us, contact us so we can investigate and take appropriate action.

Security and external links

We use appropriate technical and organisational measures to protect personal information. No system can guarantee absolute security. Please use the store's secure checkout for payment information and avoid sending payment card details by ordinary email.

Other websites linked from our store have their own privacy practices. Review their notices when you use their services.

Changes and contact

We will update this policy when our practices change and show the revised date. Where a significant change affects how your information is used, we will give additional notice as required.
